2.2 Who this policy applies to

This policy applies to people who interact with Hunters Hive, including client companies or potential clients, authorised company users, independent headhunters or collaborators who apply to join the network, candidates whose data may be involved in professional processes, website visitors and people who contact the platform.

2.3 Data we may process

Depending on the relationship with the platform, we may process the following categories of data:

  • Identification and contact data: first name, surname, email address, telephone number in the case of headhunter applicants, company, role and professional country or city.
  • Company data: corporate domain, billing data, sector, hiring needs, authorised users and activity within the platform.
  • Service usage data: searches performed, language, session, interaction events, contact requests, OTP validations, technical logs, incidents and operational traceability.
  • Professional data of candidates: anonymised or pseudonymised professional information, experience, training, languages, tools, approximate location, profiles or CVs when required by the exchange process.
  • Data of headhunters: application information, speciality, experience, telephone number, email, country, city, professional links voluntarily provided and communications maintained with the platform.
  • Technical data: IP address, browser, device, operating system, performance, referrer, UTM and aggregated approximate location where necessary for analytics, security or service improvement.

2.4 Purposes of processing

  • To provide, maintain and improve the Hunters Hive platform.
  • To allow companies to carry out talent searches and request contact with headhunters or access to professional information where appropriate.
  • To manage registrations, validations, OTP, access, security, support and operational communications.
  • To manage applications from headhunters interested in joining the network.
  • To organise, structure, anonymise, pseudonymise or classify professional information in order to facilitate talent search.
  • To manage contact requests, contracts, CVs, confidentiality agreements or documentation linked to the exchange process.
  • To send operational communications about the service.
  • To send commercial or marketing communications about services, news or content related to Hunters Hive, where there is a sufficient legal basis and always with the possibility to unsubscribe or object.
  • To analyse use of the website and product in order to improve experience, security, performance and service quality.
  • To comply with legal, tax, accounting, contractual and security obligations.

2.5 Legal basis

The legal basis will depend on each processing activity. We may process data where it is necessary to perform a contractual or pre-contractual relationship; where consent exists; where there is a legitimate interest in improving, protecting, auditing and developing the service; where it is necessary to comply with legal obligations; or where appropriate for the establishment, exercise or defence of claims.

Commercial communications will be managed in accordance with the applicable regulations. The user may object or unsubscribe, where appropriate, through the mechanisms provided or by contacting contacto@hunters-hive.com.

2.6 Use of artificial intelligence

Hunters Hive uses technology and artificial intelligence as a support tool to interpret searches, organise professional information, generate cold texts or summaries and facilitate matches between talent needs and professional profiles.

AI does not decide the hiring of a person. The hiring decision always lies with the client company, and the management of the process remains in human hands, especially those of the responsible headhunter or professional. The texts and results generated by the platform should be understood as operational support and not as a binding automated decision.

2.7 Anonymised data, pseudonymised data and CVs

Hunters Hive preferably works with anonymised or pseudonymised information in the initial search phases. However, during the exchange process, contact request, contract signing or formalisation of a professional relationship, the platform may store or process CVs and identifiable professional data for the time necessary to manage the service and comply with legal or contractual obligations.

2.8 Recipients and providers

Providers necessary to deliver the service may access personal data, such as hosting, infrastructure, database, analytics, security, messaging, email, artificial intelligence, geolocation, electronic signature, billing, legal or tax advisory providers and other necessary service providers.

Depending on the configuration of each phase, current or planned providers may include Vercel, Supabase, OpenAI, Google Maps, Resend and, in the future, electronic signature or payment providers. The specific list may be updated as the platform evolves.

We may also disclose data to public authorities, administrations, courts, banks or third parties where there is a legal or contractual obligation or a legitimate operational need.

2.9 International transfers

Some providers may process data outside the European Economic Area. When this occurs, the safeguards provided for by the applicable regulations will apply, such as adequacy decisions, standard contractual clauses, additional measures or equivalent mechanisms as appropriate.

2.10 Retention

Data will be retained for the time necessary to fulfil the stated purposes, manage the relationship with the user, address legal, contractual or technical liabilities and comply with tax, accounting or security obligations. When the data is no longer necessary, it will be deleted, anonymised or blocked in accordance with the applicable regulations.

2.11 Rights

Data subjects may request access, rectification, erasure, objection, restriction of processing, portability and withdrawal of consent where applicable by writing to contacto@hunters-hive.com. They may also lodge a complaint with the Spanish Data Protection Agency if they consider that their rights have not been addressed.

2.12 Security

Hive Global SL applies technical and organisational measures aimed at protecting data against unauthorised access, loss, destruction, alteration or misuse. Security is reviewed in a manner proportionate to the risk, the state of the art and the nature of the service.
